Job Summary
We’re looking for a dependable and detail-focused Administrative Assistant to join our Project Development department. As a trusted backbone of our team, you’ll maintain accurate systems, support others through consistent execution of established procedures, and value getting the details right to keep projects running smoothly.
Responsibilities
- Provide comprehensive administrative support to the logistics and operations department
- Undertake administrative activities, including:
- Preparation of invoices and documentation of materials
- Reconciling materials with invoices and supply documents
- Efficient and accurate daily entry of delivery data into Sage and 3PL platforms
- Maintaining data, creating reports, and supporting the team
- Checking goods in receipts and processing through internal stock system

Additional Information
Travel: Occasional; up to 2 weeks annually for meetings and team collaboration
Requirements
- High school diploma or equivalent required
- Associate’s or BA/BS degree in Business Administration, Communications, or related field preferred
- Certificate in Project Management (CAPM) or administrative professional certification (CAP) is a plus
- 2-3 years of administrative support experience required
- Experience supporting project managers or working in a project-based environment preferred
- Demonstrated experience coordinating multiple priorities and deadlines
- Intermediate proficiency in Microsoft 365 (Word, Excel, Outlook, Teams, PowerPoint)
- Intermediate proficiency in project management software
- Previous experience in publishing is beneficial but not required
