Overview
The Remote Administrative Assistant coordinates the organization’s administrative activities, stores and shares information with staff and clients, and supports senior management with projects and research. The role requires proficient use of telephone, email, conferencing tools, and various web resources.
Essential job functions and responsibilities
- Respond to correspondence from staff and clients; direct inquiries to the appropriate staff members.
- Provide clients with required information.
- Manage calendars, schedule appointments, and coordinate meetings.
- Prepare meeting agendas and, when requested, attend meetings to record and transcribe minutes.
- Create and maintain spreadsheets.
- Handle multiple projects simultaneously while maintaining accuracy.
- Collaborate effectively with coworkers, clients, and suppliers.
- Compose clear and accurate correspondence for clients and internal personnel.
- Develop presentations, reports, and documents using software or digital graphics.
- Maintain accounts‑receivable files and update records as needed.
- Notify clients or suppliers of changes to service agreements or payment options.
- Archive financial documentation and update accounting databases monthly or annually.
- Arrange travel accommodations and coordinate online conferences when required.
- Assist with bookkeeping, including preparing invoices, tax filings, and monthly profit reports.
- Report any financial discrepancies discovered during tax or invoicing duties.
Requirements
- Knowledge and experience in customer service and administrative support.
- Strong written and verbal communication skills.
- Proficiency with word processing, database, spreadsheet, and graphic programs (MS Office, Outlook).
- Personable, positive, and able to interact effectively with all people.
- High level of accuracy and efficiency in performing tasks.
- Proven experience as an Administrative Assistant or similar role (at least 1 year preferred).
- Ability to work independently and prioritize tasks.
- Ethical behavior when handling sensitive financial information.
- Solid understanding of financial processes such as bookkeeping and tax filing (a plus).
- Willingness to comply with company, local, state, and federal financial regulations.
- High school diploma or GED required; additional education in accounting, business, administration, or a related field is preferred.
