Job Summary

We are seeking a highly organized and detail-oriented Administrative Assistant to support our team in various administrative tasks. The ideal candidate will possess strong communication skills and the ability to manage multiple priorities in a fast-paced environment. This role is essential for ensuring smooth office operations and providing executive administrative support.

 

Responsibilities

  • Manage calendars, schedule appointments, and coordinate meetings using Microsoft Outlook Calendar and Google Workspace.
  • Provide executive administrative support, including preparing reports, presentations, and correspondence.
  • Assist with event planning and coordination to ensure successful execution of company events.
  • Handle bookkeeping tasks, including data entry and maintaining accurate financial records using QuickBooks.
  • Perform clerical duties such as filing, proofreading documents, transcription, and managing front desk operations.
  • Maintain office management tasks including inventory management and ordering supplies as needed.
  • Provide excellent customer service via multi-line phone systems, ensuring professional phone etiquette at all times.
  • Support project coordination by tracking deadlines, managing project timelines, and communicating updates to team members.

 

Skills

  • Strong organizational skills with the ability to prioritize tasks effectively.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
  • Excellent typing skills with attention to detail for accurate data entry and proofreading.
  • Experience with DocuSign for document management and electronic signatures.
  • Previous administrative experience is preferred; personal assistant experience is a plus.
  • Familiarity with office management practices and procedures.
