Danny Beales MP is seeking a skilled Administrative Officer to support his office in serving the community of Uxbridge and South Ruislip. Full job description

Key Responsibilities

Database management using office software (e.g. Microsoft Office) to handle administrative processes.

Budget management including budget projections, payment management, invoices, accurate spend reports, year end reporting to IPSA. Provide administrative support in relation to MP’s expenses scheme via IPSA Online. Maintenance of spreadsheets and reporting.

Efficient data and file management to ensure the office complies with the data protection legislation.

Confidential document management, maintenance and review: including HR personnel records, recruitment, annual leave requests, onboarding, training, safeguarding, security, key policies, protocols, risk assessments

Supervision of work experience programme: – answering all queries, diarising, ensuring paperwork complete, dissemination of information to all staff, risk assessments, programme activities, mentoring in constituency, providing feedback

Engage professionally, confidentially and with care and integrity with members of the public, through email, telephone and in person, including booking tours and visits

Handle administrative arrangements for meetings with members of the public/MP surgeries including security

Liaise with suppliers when required regarding office supplies and security.

Inbox management

Assist with arrangements for events – this may include venue research and bookings; compiling and managing guest-lists; liaising with suppliers; and providing on-the-day event support as required.

 

Key Skills and Experience

  • Ability to manage own workload, prioritise and work flexibly under pressure as part of a small team.
  • Excellent IT, administrative and organisational skills.
  • Strong interpersonal and communication skills, preferably with some experience of dealing with the public.
  • Knowledge of the key issues concerning people in Uxbridge and South Ruislip and an understanding of the local area.
  • Experience using databases
  • Experience of dealing with highly sensitive and confidential information
  • A First Aid at Work certificate would be advantageous
