Key Responsibilities
- Maintain and organize patient dental records, charts, imaging, and related documentation
- Ensure patient records are accurate, complete, and updated in the practice management system
- Process requests for patient records, referrals, and documentation in compliance with privacy regulations
- Scan, upload, file, and archive electronic and physical records appropriately
- Verify the accuracy of patient demographic, insurance, and treatment information
- Coordinate with clinical and administrative staff to ensure timely access to records and documentation
- Monitor records for completeness and follow up on missing or incomplete information
- Assist with chart audits and compliance reviews as needed
- Maintain confidentiality and ensure compliance with HIPAA and other applicable privacy standards
- Support front office and administrative tasks as assigned
- Assist with patient communication regarding records requests or documentation needs
Qualifications
- High school diploma or equivalent required; additional education in healthcare administration or dental office management preferred
- 1–2 years of administrative, records management, or dental office experience preferred
