We are seeking a dynamic and highly organized Administrative Assistant to join our team! Our firm is an Architecture practice specializing in custom residential and interior design. This vital role offers an exciting opportunity to support daily office operations, streamline administrative processes, enhance overall efficiency, and provide support for our social media presence. As the backbone of our administrative functions, you will be the point of contact for clients and contractors, ensuring a positive and professional experience. Responsibilities

  • Operate phone systems, answer inquiries, and route calls efficiently using proper phone etiquette
  • Assist with email inquiries, and provide professional responses to assist the firm Principal
  • Perform data entry tasks using Microsoft Office Suite, Google Workspace, and other office software to maintain accurate records
  • Assist with filing, document proofreading
  • Support calendar management by scheduling appointments, meetings, and coordinating events with attention to detail
  • Provide excellent customer service by supporting clients, vendors, and team members with professionalism and responsiveness
  • Assist with and manage social media posts on platforms such as Instagram
  • Research materials, interface with vendors, and order samples for projects

Experience

  • Proven office management or administrative experience in a fast-paced environment. Experience in the world of design is preferred
  • Excellent writing and verbal communication skills
  • Self-motivated and efficient time management skills
  • Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace (Docs, Sheets), and data entry skills, and Adobe PDFs
  • Strong graphic skills are preferred. Experience with the Adobe suite (Acrobat, Illustrator, Photoshop) are a plus; ability to create social media posts via Instagram or Tiktok are an asset. Please provide detail about this experience
  • Demonstrated organizational skills with the ability to prioritize tasks efficiently and manage time effectively
  • Familiarity with clerical tasks such as filing, proofreading documents, and maintaining records
  • Previous experience in customer support or customer service roles that require excellent phone etiquette and interpersonal skills
