Job Overview

We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support to management. The ideal candidate will possess excellent communication skills, strong attention to detail, and the ability to manage multiple priorities efficiently. This role involves handling a variety of tasks including calendar management, event planning, project coordination, and office management to ensure smooth daily operations and effective executive support.

 

Responsibilities

  • Manage and maintain executive calendars using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and travel arrangements.
  • Provide high-level administrative support including typing, proofreading, transcription, data entry, and filing to ensure accuracy and organization.
  • Coordinate and assist with event planning for corporate meetings, conferences, and other company events.
  • Handle correspondence via multi-line phone systems with professional phone etiquette; screen calls and direct inquiries appropriately.
  • Support bookkeeping and basic accounting tasks using QuickBooks; assist with invoicing, expense tracking, and basic bookkeeping functions.
  • Assist with project coordination by tracking deadlines, preparing reports, and ensuring timely completion of tasks.
  • Provide personal assistant support including managing confidential information, organizing personal schedules, and handling special projects as needed.
  • Utilize office software such as Microsoft Office (Word, Excel, PowerPoint), DocuSign for document signing, and other productivity tools to facilitate daily operations.

 

Requirements

  • Proven experience in an executive administrative or personal assistant role with strong office management skills.
  • Excellent organizational skills with the ability to multitask effectively in a fast-paced environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, Microsoft Outlook Calendar, and familiarity with DocuSign.
  • Strong typing skills along with proofreading and transcription abilities.
  • Experience with bookkeeping software such as QuickBooks is preferred.
  • Exceptional communication skills including phone etiquette and customer service experience.
  • Demonstrated ability to handle confidential information discreetly.
  • Prior experience in event planning, project coordination, clerical work, data entry, or front desk operations is advantageous.
