We are seeking a dynamic and highly organized Executive Assistant for CEO of a nonprofit Christian based advocacy organization. This role is vital in ensuring smooth daily operations, managing complex schedules, coordinating projects, and facilitating effective communication internally and externally. The ideal candidate will demonstrate exceptional organizational skills, proactive problem-solving abilities, and a positive attitude that energizes the workplace and be comfortable interacting with staekholders of like mind all over the country . Duties

  • Manage and maintain detailed calendars using tools like Microsoft Outlook Calendar and Google Workspace, Zoom, scheduling meetings, appointments, and events with precision.
  • Coordinate a variety of projects by tracking deadlines, preparing materials, and making small adjustments to websites with timely completion.
  • Schedule events such as meetings, conferences, and team-building activities, handling logistics from venue booking to catering arrangements.
  • Provide executive administrative support including proofreading documents, transcribing notes, and preparing reports with accuracy.
  • Screening calls and emails and directing inquiries efficiently.
  • Oversee office management tasks such as data entry and maintaining supplies inventory.
  • Utilize software tools like Microsoft Office Suite (Word, Excel, PowerPoint), Adobe, Graphics software, QuickBooks for basic bookkeeping tasks, and DocuSign for document signing processes.
  • Assist with recording contributions and invoicing..
  • Support CEO’s travel arrangements, scheduling, and confidential task management.
  • Maintain organized records of all correspondence, files, and project documentation through effective digital filing systems.
  • Ensure excellent customer service by addressing inquiries promptly.

 

Experience

  • Proven experience as an Executive Assistant or in a similar administrative role supporting senior leadership in a fast-paced environment.
  • Demonstrated broad and diverse expertise in office management tasks..
  • Strong organizational skills combined with the ability to prioritize tasks efficiently under tight deadlines.
