Job summary

Island City Practice is seeking a motivated and enthusiastic Digital, IT & Data Assistant to join our busy and forward-thinking primary care team.

This is an exciting opportunity for someone with an interest in technology, digital services and data to support the day-to-day running of the practice. Working closely with the IT & Data Team, the successful candidate will help maintain our digital systems and services, support staff and patients with technology-related queries, contribute to patient communications through our website and social media platforms, and assist with a range of digital and data projects that support high-quality patient care.

Main duties of the job

The Digital, IT & Data Assistant will provide administrative and operational support to the IT & Data Team, helping to maintain practice IT systems, digital services, equipment records, routine data processes, and digital communications. The post holder will assist with the practice website, social media channels, and patient-facing digital initiatives, while providing first-line support to staff and patients to help with the day-to-day running of Island City Practice

Job description

Job responsibilities

The following are the core responsibilities of the Digital, IT & Data Assistant. There may be, on occasion, a requirement to carry out other duties depending on workload and staffing levels.

The Digital, IT & Data Assistant is responsible for:

  1. Providing basic support to staff and patients using Anima and escalating more complex queries where appropriate
  2. Supporting staff with routine IT queries and escalating issues where necessary.
  3. Support the practice’s online presence by assisting with social media posts, updating content, and promoting practice services, campaigns, and patient information.
  4. Supporting patient digital engagement initiatives, including promoting the NHS App, Anima, and other online services.
  5. Assist with maintaining and updating the practice website, ensuring information is accurate, accessible, and up to date.
  6. Support the promotion of Friends & Family Test feedback and assist with the collation of responses.
  7. Undertaking routine checks to ensure clinical rooms have the required IT equipment and reporting any faults or shortages.
  8. Assisting with the organisation of medical equipment calibration and maintaining accurate records.
  9. Assisting with administrative tasks relating to practice projects as directed by the IT & Data Manager or Management Team.
  10. Monitoring stocks of IT consumables, including toners and drums, and reporting low stock levels.
  11. Helping maintain communication rooms in a tidy, organised, and safe condition.
  12. Logging IT faults with external suppliers and monitoring progress of support requests.
  13. Maintaining PAT testing records and assisting with the scheduling of annual testing.
  14. Updating and maintaining the practice asset register.
  15. Assisting with the deployment and setup of IT equipment, including PCs, laptops, phones, and printers.
  16. Assisting with the organisation of maintenance visits and contractor access.
