We are seeking a highly organized and proactive Virtual Assistant to support our team with a variety of administrative and clerical tasks. - Handle incoming calls via multi-line phone systems with professional phone etiquette
- Provide customer support through email, chat, or phone, ensuring prompt and courteous service
- Perform data entry, filing, and document proofreading to maintain accurate records
- Assist with bookkeeping tasks using QuickBooks or similar accounting software
- Support front desk operations including greeting clients virtually and managing appointment bookings
- Organize files and documents for easy retrieval and record keeping
- Support personal assistants or medical/dental reception tasks as needed
- Manage correspondence, emails, and follow-ups efficiently to ensure timely responses
- Perform general office management duties such as organizing supplies, maintaining office systems, and supporting team projects
Requirements
- Proven experience in office management, administrative support, or clerical roles
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace (Gmail, Calendar)
- Experience with QuickBooks or bookkeeping is a plus
- Excellent organizational skills with the ability to prioritize tasks effectively
- Strong typing skills and attention to detail for proofreading and data entry tasks
- Bilingual abilities are preferred but not required; fluency in additional languages is a plus (Not Compulsory)
- Exceptional customer service skills with professional phone etiquette and support experience
