Job Summary

We are seeking a flexible and highly organized Administrative Assistant to join our team! In this vital role, you will serve as the backbone of our office operations, ensuring smooth daily functions and providing exceptional support to members and partners alike. Responsibilities

Daily management of communication in HHLOA email account.

Onboarding new lodging members and allied partners, as well as membership renewals.

Maintaining database and website presence, facilitating updates as needed.

Serving as the first person a new member or partner may encounter. Managing the experience is a key focus of the position.

Creation of content and distribution of monthly newsletter.

Posting updates and communication as needed on HHLOA Facebook page.

Active management of events including member communication, maintaining Excel spreadsheets, sharing materials to various business partners.

Additional responsibilities and special projects when assigned.

 

Minimum Qualifications

Maintain organized filing (digital) systems, including data entry and document proofreading

Provide customer support via email and (occasionally) phone, or addressing inquiries promptly and professionally

Assist with clerical duties such as copying, mailing, and preparing spreadsheets or using Microsoft Office and Google Workspace tools

Proven experience or transferrable skills in office management or administrative support roles with strong organizational skills

Proficiency in computer literacy, including Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar, Drive applications, etc.), and data entry skills

Excellent typing speed and accuracy; keen proofreading abilities for documents and correspondence

Strong customer service orientation with professional phone and email etiquette and interpersonal skills

Ability to multitask efficiently while managing time effectively in a fast-paced environment
