Job summary

We are looking for an experienced and highly capable Executive Assistant to work directly with the Founder and Management team across our three business arms: Business Consulting, Travel and Music Promotion. This is not a basic administrative role. We need someone who takes ownership of their work and operates confidently with minimal supervision.

 

Responsibilities:

Executive Support & Task Management:

  • Manage calendars, meetings, appointments and internal task lists with precision.
  • Ensure deadlines are met, priorities are clear and nothing falls through the cracks.

 

Reporting & Accountability:

  • Provide regular and timely updates on completed tasks, ongoing work and pending actions without being prompted.
  • Maintain clear visibility of progress at all times.

 

Presentation & Document Preparation:

  • Design professional business presentations and reports using Canva.
  • Create clean, structured and visually strong PowerPoint and PDF slides suitable for consulting clients and business stakeholders.

 

Email & Communication Management:

  • Monitor and manage inboxes efficiently.
  • Draft responses, organise correspondence and ensure timely follow-up on important matters.
  • Maintain a structured and well-organised filing system.

 

Proactive Operations Support:

  • Identify gaps, inefficiencies or potential issues before they become problems.
  • Take initiative to improve systems and workflows without waiting to be instructed.
  • Apply feedback quickly and deliver polished work with minimal guidance after initial direction.

 

Independent Decision Making:

  • Exercise sound judgement in day-to-day matters.
  • Make informed decisions that support smooth operations and reflect the Founder’s priorities.

 

Collaboration & Cross-Department Support:

  • Work across Business Consulting, Travel and Music Promotion projects.
  • Communicate clearly and contribute practical input to improve execution and delivery.
