The Executive Assistant will support Executives whose work spans business leadership, digital media, social impact, and global speaking engagements.
Role Summary
We are seeking a highly organized, proactive, and tech-savvy Executive Assistant to support the day-to-day operations, creative projects, and strategic initiatives of the Executives. The ideal candidate is comfortable managing complex schedules across multiple time zones, supporting multimedia production, coordinating events, and collaborating with global team members in a fast-paced, mission-driven environment
Key Responsibilities
Executive & Administrative Support
- Manage calendars, schedule global meetings, and coordinate virtual appointments.
- Prepare briefs, summaries, agendas, and follow-up documents.
- Handle confidential communication with professionalism and timeliness.
- Coordinate with the executive team to streamline workflow and deliverables.
Creative & Multimedia Support
- Edit videos for social media, online TV, promotional materials, and educational content.
- Assist with designing flyers, presentations, social media posts, event graphics, and branding assets.
- Collaborate with content creators to produce high-quality digital materials.
Podcast & Online TV Management
- Assist in managing ADollarClass podcast episodes and virtual TV content.
- Coordinate guest scheduling, script preparation, outline development, and recording logistics.
- Oversee upload schedules, platform distribution, and basic audio/video editing.
- Organize and maintain digital libraries of media content.
Event Planning & Coordination
- Support the planning and execution of virtual events, webinars, live sessions, workshops, and conferences.
- Handle speaker communication, guest outreach, invitations, and agenda development.
- Manage digital event logistics, including Zoom/StreamYard setup, run-of-show planning, and post-event follow-up.
- Assist with creating promotional materials and event graphics.
Cross-Time-Zone & Global Collaboration
- Work seamlessly across multiple time zones (U.S., U.K., Europe, Africa, Asia).
- Coordinate with global partners, volunteers, and interns.
- Ensure timely reminders, follow-ups, and task tracking for the executive team.
Required Skills
- Proficiency in Google Workspace & Microsoft Office.
- Experience with Canva or Adobe Creative Suite.
- Video editing skills (CapCut, Premiere Rush, iMovie, etc.).
- Familiarity with podcast platforms (Spotify, Anchor, Buzzsprout).
- Experience with virtual TV/streaming tools (Zoom, StreamYard, OBS).
- Exceptional organizational and time management abilities.
- Strong verbal and written communication skills.
- High professionalism, confidentiality, and discretion.
- Ability to manage multiple priorities in a fast-paced environment.
- Tech-savvy with quick learning and basic troubleshooting capabilities.
Preferred (Bonus) Skills
- Experience in social media management or content planning.
- Event hosting or media production experience.
- Familiarity with nonprofit or EdTech environments.
- Project management experience.
Education & Experience
- Bachelor’s degree in Business Administration, Communication, Media, Marketing, or related field.
- 1–3 years of experience supporting an executive, entrepreneur, or leadership role.
