Duties

  • Manage day-to-day office operations, including front desk responsibilities and multi-line phone systems to ensure seamless communication.
  • Coordinate scheduling and calendar management for executives and team members, optimizing time allocation and meeting arrangements.
  • Oversee vendor management by negotiating contracts, processing invoices through QuickBooks, and maintaining positive supplier relationships.
  • Support human resources functions such as onboarding new employees, maintaining personnel files, and assisting with training & development initiatives.
  • Handle bookkeeping and basic bookkeeping tasks, including filing expenses, tracking budgets, and managing petty cash.
  • Organize events and meetings by planning logistics, preparing materials, and ensuring all necessary arrangements are in place.
  • Supervise administrative staff when applicable, providing guidance on clerical tasks such as filing, document management, and office supplies inventory.

Requirements

  • Proven experience in office management or administrative roles with strong organizational skills.
  • Demonstrated supervising experience with the ability to lead teams effectively.
  • Proficiency in QuickBooks for financial record-keeping and vendor invoice processing.
  • Excellent communication skills with professional phone etiquette and customer service orientation.
