Hours: 20 hours per week – 11.00 – 15.00 / 13.00 – 17.00 – Mon to Fri
Responsible to: Responsible Individual and Registered Manager

We are seeking an Administrative Assistant to join our team and support our care service.
Job Details: Administrative Duties:
- Management of Clearcare and being our in house expert:
- Setting up new staff
- Sorting log in issues
- Training new staff
- Adding new children and keeping their records are up to date
- Scanning and uploading documents to children or staff files
- General maintenance of children’s files (moving out of date documents to archive sections, etc)
- Adjusting forms to better suit our needs or developing new forms
- Monitoring of household/vehicle record completion and quality
Other duties:
- Maintaining training matrix – updating when training has been completed
- Adding staff to training hub
- Allocating courses to staff as directed by Management Team
- Sourcing venues for training when needed
- Liaison with training providers around dates
- Organising meetings (Teams or on site)
- Managing diaries – Home, Manager, RI – updating, responding to meeting requests, etc
- Stock control
- Maintaining supervision tracker
- Updating incident tracker
- Updating Annex A data
- Arranging staff interviews
- Reference requesting
- Ensuring staff files are complete and up to date
- COSHH ordering
- Minute takings for Manager for all meeting
- Team meeting organisation and minutes
