Job Summary
We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support to senior management. The ideal candidate will possess excellent communication skills, exceptional organizational abilities, and proficiency in office management tools. This role involves managing calendars, coordinating projects, handling correspondence, and ensuring smooth daily operations within a dynamic professional environment. The Executive Assistant will play a vital role in streamlining workflows and supporting executive functions to enhance overall productivity.
Duties (Training included)
- Manage and maintain executive calendars using Microsoft Outlook Calendar and Google Workspace, scheduling appointments, meetings, and events with precision.
- Coordinate complex projects and assist with event planning, including logistics, vendor communication, and material preparation.
- Provide administrative support such as typing, proofreading, transcription, data entry, filing, and document management using Microsoft Office Suite and DocuSign.
- Handle incoming calls with professional phone etiquette on multi-line phone systems and manage correspondence via email and other communication channels.
- Oversee office management tasks including front desk responsibilities, filing systems, and maintaining office supplies.
- Perform bookkeeping and basic QuickBooks data entry to assist with financial record keeping.
- Support personal assistant duties as needed for senior executives, including travel arrangements and personal scheduling.
- Ensure accuracy in all documents through proofreading and quality checks.
- Assist with client/customer service inquiries to uphold a professional office environment.
Experience
- Proven experience as an Office Manager, Administrative Assistant, or Personal Assistant with a strong background in executive administrative support.
- Demonstrated proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace applications, and data entry systems.
- Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
- Strong typing skills along with exceptional attention to detail for proofreading and transcription tasks.
- Familiarity with multi-line phone systems, calendar management tools like Microsoft Outlook Calendar, and electronic signature platforms such as DocuSign.
- Experience with event planning, project coordination, bookkeeping (QuickBooks), and office management is highly desirable.
- Prior experience providing exceptional customer service in an office setting is preferred.
